ALUMNI AND CONSTITUENT RELATIONS MANAGER
Reports to: Director of Development
Work Schedule: Working full-time according to 12-month Institutional Advancement Calendar
Develop and execute a strategic plan for alumni, parents of alumni and grandparents outreach in the New York area, across the country, and in Israel, with a focus on increasing participation and engagement, levels of giving, and opportunities for involvement. Serve as a member of the Institutional Advancement Department, participating in team meetings and supporting overall departmental programming.
Specific Responsibilities:
ENGAGEMENT & EVENTS

Coordinate activity with Alumni of all ages and affinity/regional groups. Including, but not limited to – Summer Networking Event, Shabbat Dinners, Career Showcase, Pre-holiday gatherings, and more.

Oversee the planning, execution, and follow-up for reunions and other alumni events and initiatives involving the alumni community.

Recruit and manage alumni volunteers, including committee event/chairs and volunteers for general school/development initiatives.

Interface with Ramaz Senior Class and appropriate faculty as students transition into alumni

Coordinate with School Administration, Faculty/Staff in bringing alumni to speak to current students in classrooms and in extra-curricular clubs

Work with the college office on a Student mentoring program using alumni as mentors.
FUNDRAISING:
-
Develop Fundraising and Development plan for the alumni, parent of alumni and grandparent communities. Collaborate with the Director of Development and/or Head of Institutional Advancement to coordinate all personal, mail, phone, and electronic communications, solicitations, and stewardship to alumni.

Develop and manage a portfolio of alumni, parents of alumni and grandparent annual fund and major gift donors through the screening, research and targeting of database.

Develop and execute a plan to approach appropriate alumni, parents of alumni and grandparents for legacy gifts.

Work with the Director of Development and Head of Institutional Advancement to target specific alumni for direct solicitation of Annual Campaign.

Oversee all aspects of Alumni Week of Giving campaign
COMMUNICATIONS

Develop and coordinate a comprehensive communication plan for the alumni community.

Prepare, and execute all communication with alumni, including email, the quarterly newsletter, school-wide publications, event invitations, and shiva notifications

Manage alumni community website, including content and data

Oversee social media for alumni, parents of alumni and grandparents including Facebook, LinkedIn, Instagram, etc.
RELATIONSHIP MANAGEMENT

Oversee and maintain data for 6000+ alumni community

Follow-up on all “relationship management” aspects with alumni and alumni parents: individual requests, recording class notes, lifecycle occasions, etc.

Oversight of alumni photo archives and mementos/keepsakes (documents, Ramaz wear, etc.)

UPPER SCHOOL ADMINISTRATIVE ASSISTANT
Position Title: Administrative Assistant, Upper School
Reports To: Upper School Associate Principals and Upper School Principal
Employment Classification: Noneducational
Position Summary
The Administrative Assistant supports the daily operations of the Upper School office, helping to create a
welcoming and well-run environment for students, families, and faculty. Working closely with the
Associate Principals, Director of General Studies, and Grade Deans, this role involves organizing
information, managing logistics, and assisting with a variety of office needs to help ensure the school day
runs smoothly. The Administrative Assistant is expected to model professionalism and discretion,
especially when handling sensitive matters or representing the school in communication with families
and visitors. This position also requires strong judgment and the ability to work independently to
manage time-sensitive and confidential tasks. This is a full-time position that requires a five-day
workweek, Monday through Friday, and occasional work on evenings and weekends.
Objectives
- Help maintain accurate and up-to-date student attendance records
- Provide dependable administrative support to school leadership
- Communicate clearly and warmly with families, faculty, and students
- Assist with scheduling and coordination of school activities and exams

Responsibilities Include
- Monitor student attendance and lateness; follow up with families and Grade Deans as needed
- Track morning attendance check-ins for students
- Maintain and update school records, including attendance, room assignments, and schedule
- Support communication between school leaders, teachers, and families with discretion and clarity
- Greet and direct visitors; respond to phone calls and emails with warmth and professionalism
- Ensure sensitive student and family information is handled with care, confidentiality, and integrity
- Exercise sound judgment and initiative in prioritizing daily responsibilities and responding to needs
- that arise throughout the school day
- Compose and proofread written communication, including emails and routine correspondence to
- families, faculty, and staff
- Prepare materials for final exams, including formatting, copying, seating charts, and proctoring

- Complete forms and documents according to school procedures

- Assist with organizing logistics for school events or special programming
- Work collaboratively with other office staff to support daily needs
- Maintain a respectful, reliable, and professional presence in the Upper School office
- Support logistics for Ramaz Shabbatons and Retreats, including coordinating transportation,
- rooming, and working with Administration; availability for evening or weekend participation may be

Qualifications Required
- Bachelor’s degree required
- Prior experience in an administrative or school support role preferred
- Familiarity with school operations or academic calendars is helpful
- Ability to manage multiple tasks in a busy environment
- Hebrew language skills a plus
Compensation
Full time annualized salary of $55,000 - $70,000 (commensurate with relevant experience and
education).

Position Summary
The Executive Assistant plays a vital role in supporting the Head of Nursery – Grade 8 and the Early Childhood and Lower School Guidance team. As a key member of the N–8 administrative team, this individual must demonstrate professionalism, discretion, and proactive organizational skills. The role involves managing complex scheduling, supporting leadership initiatives, and helping ensure the smooth day-to-day operations of the school. Success in this position requires strong initiative, sound judgment, and the ability to navigate responsibilities with independence and efficiency in a fast-paced school environment. Objectives
- Provide high-level administrative support to the Head of Nursery - Grade 8
- Coordinate and manage scheduling for the Early Childhood and Lower School Guidance team
- Act as a liaison across divisions and with key stakeholders
- Support communication flow and collaboration among internal departments
Responsibilities Include
- Schedule meetings for the Head of Nursery - Grade 8 and Guidance team with faculty, parents, students, outside visitors, and Ramaz employees in other campuses
- Coordinate and schedule leadership and Parents Council meetings throughout the school year
- Serve as part of the Early Childhood and Lower School administrative support team, including answering incoming calls and assisting with general office functions
- Assist in preparing presentations and assembling reports, including those of a confidential nature
- Collaborate with administrative colleagues to manage daily operations and respond to the needs of students, families, and employees
- Facilitate coordination between Early Childhood, Lower School, and Middle School leadership teams on behalf of the Head of Nursery - Grade 8
- Support school initiatives and special projects led by the Head of Nursery - Grade 8
- Communicate relevant updates to the communications department regarding events, programs, and schedule changes
- Ensure the institutional advancement office is kept informed of opportunities that support fundraising ideas and efforts
- Liaise with Human Resources and the Business Office on matters delegated by the Head of Nursery - Grade 8
- Perform other duties as assigned by the Head of Nursery - Grade 8

Compensation
The salary range for this position is $65,000–$77,000, commensurate with experience and education.
